Aveltion B.V. respects your privacy and is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store and protect personal data when you visit our website, contact us, request a quotation, or otherwise communicate with us.

For the purposes of the General Data Protection Regulation ("GDPR"), Aveltion B.V. is the data controller for the personal data described in this Privacy Policy.

2. Personal data we collect

We may collect personal data that you provide directly to us, including:

  • name and surname;

  • company name and job-related information;

  • email address;

  • telephone number;

  • country or location;

  • information submitted through our contact or Request for Quotation ("RFQ") forms;

  • product, manufacturer, part number, quantity, delivery and sourcing requirements;

  • technical specifications, drawings, BOMs, datasheets and other documents you choose to upload;

  • correspondence sent to us by email, telephone or WhatsApp; and

  • any other information that you voluntarily provide to us.

When you use our website, certain technical information may also be collected automatically, such as your IP address, browser type, device information, pages visited, date and time of access, and cookie or similar technology information.

Please do not send us special categories of personal data, such as medical information, religious beliefs, political opinions or other sensitive personal information, unless this is strictly necessary and you have a lawful reason to provide it.

We process personal data for the following purposes:

Responding to enquiries and RFQs
We use the information you provide to understand your requirements, identify suitable products, manufacturers or suppliers, prepare quotations and communicate with you.

Providing our services
Where a business relationship is established, we process information necessary to manage sourcing, purchasing, supply, delivery, invoicing and related commercial activities.

Communicating with customers, suppliers and business partners
We may use your contact details to manage existing or potential business relationships.

Legal and administrative obligations
We may process and retain certain information where necessary to comply with tax, accounting, regulatory or other legal obligations.

Website operation and security
Technical information may be processed to operate, secure and improve our website, prevent abuse and investigate technical problems.

Analytics and non-essential cookies
Where required by law, analytics, advertising or tracking technologies are used only after obtaining the appropriate consent.

4. Legal bases for processing

Depending on the circumstances, we process your personal data on one or more of the following legal bases:

  • performance of a contract or steps taken at your request before entering into a contract, for example when responding to an RFQ;

  • legitimate interests, including conducting B2B activities, responding to business enquiries, maintaining customer and supplier relationships, protecting our website and managing our business;

  • compliance with a legal obligation, including accounting and tax requirements; and

  • consent, where consent is required, for example for certain non-essential cookies or optional marketing activities.

Where processing is based on consent, you may withdraw your consent at any time. Withdrawal does not affect processing carried out before your consent was withdrawn.

5. Who we share personal data with

We do not sell personal data.

We may share personal data where reasonably necessary with:

  • manufacturers, suppliers and other commercial partners involved in responding to your enquiry or fulfilling your request;

  • logistics, transport and delivery providers;

  • IT, hosting, cloud, email and website service providers;

  • professional advisers such as accountants, legal advisers or consultants;

  • public authorities where disclosure is required by law; and

  • other service providers acting on our behalf.

Where we send an RFQ or sourcing request to a manufacturer or supplier, we aim to disclose only the information reasonably necessary to obtain the requested product, price, availability or technical information.

6. International transfers

Aveltion operates internationally and may communicate with manufacturers, suppliers and service providers located outside the European Economic Area ("EEA").

Where personal data is transferred outside the EEA, we take reasonable steps to ensure that an appropriate level of protection is provided, for example through:

  • an adequacy decision adopted by the European Commission;

  • Standard Contractual Clauses;

  • contractual safeguards; or

  • another legally recognised transfer mechanism.

Where possible, we minimise the amount of personal data included in international sourcing requests.

7. How long we keep personal data

We do not retain personal data longer than necessary for the purposes for which it was collected.

As a general rule:

  • enquiries and RFQs that do not lead to a business relationship may be retained for up to 24 months after our last substantive communication;

  • customer, supplier and transaction records may be retained for the period required for contractual, accounting and tax purposes;

  • documents forming part of our statutory business administration may be retained for 7 years, where required under Dutch tax rules; and

  • data processed on the basis of consent is retained until consent is withdrawn or the data is no longer required.

Dutch businesses are generally required to retain core administrative records for seven years. 

We may retain information longer where necessary for the establishment, exercise or defence of legal claims or where another legal obligation applies.

8. Security

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, accidental loss, alteration, disclosure or destruction.

However, no method of electronic transmission or storage can be guaranteed to be completely secure.

Subject to the conditions provided by applicable law, you may have the right to:

  • request access to the personal data we hold about you;

  • request correction of inaccurate or incomplete personal data;

  • request deletion of your personal data;

  • request restriction of processing;

  • object to certain processing based on legitimate interests;

  • request portability of certain personal data;

  • withdraw consent at any time where processing is based on consent; and

  • lodge a complaint with the competent supervisory authority.

These rights reflect the protections provided under the GDPR.

If you believe your personal data has been processed unlawfully, you may also submit a complaint to the Autoriteit Persoonsgegevens, the Dutch Data Protection Authority.

If you choose to contact us through WhatsApp, telephone, LinkedIn or another third-party service, that provider may process information relating to your communication in accordance with its own privacy policy and terms.

Aveltion processes the information we receive through those channels only to manage the relevant communication or business relationship.

Our website may contain links to external websites, including supplier, partner, LinkedIn or other third-party websites.

Aveltion is not responsible for the privacy practices of third-party websites. We recommend reviewing the privacy policy of any external website you visit.

13. Automated decision-making

Aveltion does not use personal data submitted through this website to make decisions based solely on automated processing that produce legal effects or similarly significant effects concerning you.
